On The Road (OTR)

With more than 25 years of experience in Transport and the Wholesale and Retail Petroleum business, we created our own inhouse On The Road system to cater for the South African Transport Market.
Our OTR system allows only registered clients and vehicles to refuel at any one of our 17 depots located along the countries busiest highways at wholesale prices.
Important to remember that we are a Petroleum Wholesale Company, and you will only receive a delivery note at our depots. As soon as your transactions reach 1500 litres, the system will invoice you for the litres collected at our different Depots.
All transactions performed at any of our depots is synchronized to an online system in real time.
All transactional information is available to the client immediately on our online system including but not limited to:

  • All transactions at any and all of our depots
  • Signed delivery note available on system to download or print
  • Issued Invoices
  • Statement of account
  • Live account status and balance
    If a client requires more control on when and where a vehicle may be refuelled you can make use of our online systems order section. The order will be used at the depot along with a pin number from the driver. Each order has a unique one-time pin (OTP) assigned to it communicated via a Whatsapp message when the order is created. The driver will provide the pin number to the attendant so that the order can be issued
    This is an extra security measure for the client by not allowing the vehicle to be registered on the system.
    Confirmation that a vehicle may be filled at a depot is performed in the following way:
  • Vehicle license disk or issued order is scanned with a 2D barcode scanner
  • Vehicle registration number or issued order number is obtained from this scan
  • Fuel management system at the depot determines if it is a valid customer and vehicle from the scan
  • Attendant card is scanned if the system allows the transaction
  • Account type and balance is checked
  • System starts dispensing if all is in order
  • System will stop dispensing when:
    o Ordered litres has been reached from the placed order
    o Account funds are depleted

Transaction completion:

  • Required information is entered onto the depot computer system by the attendant
  • Driver will be required to sign off on the depot computer screen
    Transaction data will be synchronized to the online system along with the signed delivery slip from the driver. This information is then immediately available to the client.
    Other benefits of the client online application:
  • Client can build custom reports on all transactional data
  • Client can load sub accounts for sub debtors at a different price per litre
  • Sub account data can be obtained separately from main account information
  • Load fuel and overnight orders
  • Check all payments made on the account
  • Our open API can integrate with any other fuel management system available.

    Payment Allocation

    All payments made on the clients account is loaded automatically with the interface between the bank, OTR system and the Debitech API. When a payment is received in our bank account the integration between the systems will allocate the payment on the clients OTR account within minutes, 24 hours a day.
    We offer three account types:
  • Fleet – Swipe your fleet card as a method of payment
  • Pre-Paid – Bulk payment is made up front. System block transaction if the funds are depleted
  • Credit – On approval after credit checks has been completed and the necessary
    Support
    We have our own 24 hour a day, fully trained, OTR Support Team to assist all our clients and depots with any queries there may be. We also have a dedicated person to give training in person or via multimedia training sessions for our clients to fully understand and utilize the OTR system to simplify your fuel management.
    Security All our depots are fitted with Thermal cameras set to detect any human movement around the perimeter to stop any intruder before entering the premises. This is monitored 24 hours a day by our OTR Support team with armed security on standby.
